Job Summary
The Front Office Administrator is responsible for providing administrative, clerical, and operational support to the Front Office department. The role ensures smooth day-to-day operations by coordinating front desk activities, maintaining records, supporting guest services, and assisting the management team with reporting, communication, and office organization
Job Description
Front Office Operations Support
- Assist in the daily coordination of front desk operations to ensure efficient guest service delivery.
- Support reception team with check-in and check-out procedures when required.
- Maintain the cleanliness and organization of the front desk area and back office.
Administrative Duties
- Maintain and update guest records, filing systems, and departmental documents.
- Prepare daily, weekly, and monthly reports for the Front Office Manager (arrival/departure list, occupancy reports, guest feedback reports, etc.).
- Handle email communication, internal memos, and correspondence related to the Front Office.
- Process invoices, purchase requests, and stationery orders for the department.
Guest Relations
- Assist with guest inquiries, complaints, and special requests, ensuring prompt resolution and excellent service.
- Coordinate with other hotel departments (Housekeeping, Reservations, F&B, Engineering) to ensure smooth operations and guest satisfaction.
- Support VIP arrival preparation by preparing welcome amenities, profiles, and communication.
Staff Support & Coordination
- Assist with scheduling, attendance tracking, and preparation of duty rosters for the Front Office team.
- Support new staff with onboarding documentation and orientation materials.
- Help monitor staff performance records as assigned by the Front Office Manager.
Systems & Reporting
- Ensure accurate data entry in PMS and other hotel systems.
- Generate and distribute system-based reports required for daily briefings and management use.
- Monitor office supplies and ensure all systems are functional.
Qualification and Requirements
- Diploma or Degree in Hospitality Management, Business Administration, or related field.
- Minimum 2–3 years’ experience in Front Office or Administrative roles (hotel experience preferred).
- Strong communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Proficient in MS Office (Word, Excel, Outlook).
- Experience with Property Management Systems is an added advantage.
- Ability to handle multiple tasks professionally.
